Senior Manager, Executive Office
Full Time Position 

POSITION SUMMARY

The Ontario SPCA seeks an exceptional individual to fulfill the role of Senior Manager, Executive Office.  The successful candidate is an experienced and sophisticated senior administrator who is confident, self-motivated, possesses the highest standards of accuracy and maturity of thinking; someone who is discreet and a consummate team player. This person needs to be comfortable working in a fast-paced environment and able to balance many competing priorities.

RESPONSIBILITIES

Reporting to the Chief Executive Officer, this individual ensures the effective operation of the Executive Office, including administrative and external relations functions.  This individual will use highly developed judgment and initiative to identify, undertake and coordinate executive office functions and will be directly responsible for providing day to day support of the Chief Executive Officer.  This individual will liaise with senior volunteers, community stakeholders, government officials and donors, and serve as an important link between the Chief Executive Officer / Executive Office, and the Board, the Senior Management Team and the Society's Community Representatives.  

Specifically, the Senior Manager, Executive Office will:

  • Possess strong organizational skills with diligent attention to detail and the ability to produce accurate work with efficient turnaround time;
  • Maintain a comprehensive understanding of the Society's mission, programs and priorities and use expert judgment in planning and coordinating the Chief Executive Officer's (as well as the Society's executive volunteers) involvement accordingly;
  • Research, draft and prepare a wide range of documents, presentations, and other materials;
  • Review and respond to incoming correspondence, inquiries and phone calls;
  • Manage the Chief Executive Officer's calendar, meetings and travel, ensuring preparation time and supporting materials;
  • Provide assistance in preparation for Board and Board Committee meetings
  • Manage or participate in special projects as required;
  • Be available for occasional travel and occasional weekend and evening work.

 

QUALIFICATIONS

  • Post-secondary education and minimum of 5 years’ experience providing senior level strategic and administrative support or an equivalent combination of education and experience
  • A responsive, customer service orientation and experience interacting with influential community and business leader
  • Unquestionable integrity, a highly developed sense of judgment and absolute discretion with confidential and sensitive information
  • Proven ability to operate professionally and with consistently high standards of excellence
  • Demonstrated ability to effectively prioritize work, manage deliverables and handle multiple tasks simultaneously in a fast-paced environment
  • Able to think critically and to exercise independent and sound judgment in anticipating needs and taking initiative
  • Excellent written and verbal communication skills
  • Advanced proficiency with Microsoft Office suite of programs specifically Outlook, Word, Excel and PowerPoint; experience with database systems such as Raiser’s Edge an asset

Animal Welfare Associate (AWA)- Provincial Education and Animal Centre
Two (2) Part Time Positions –    24 hours per week
25 Hours per week

We are currently hiring for the Animal Welfare Associate position. You will be responsible for daily animal care, enrichment of animals, infection control and bio security.

RESPONSIBILITIES

Completing daily husbandry duties for animals housed within the Centre, including but not limited to; cleaning and disinfection of animal areas, animal nutrition and feeding, monitoring individual animal health, and accurate records management including data collection and entry. This position will also assist in the training and orientation of new staff and volunteers, and ensure infection control procedures are followed for the premises, animal housing units and equipment used within the Centre, while working in compliance with the Occupational Health and Safety Act. In addition this role will be required as necessary, to complete vet runs and animal transfers using an OSPCA business vehicle.  Other duties requiring a valid license will also be assigned as needed.

QUALIFICATIONS

The ideal candidate must have a good working knowledge of animal welfare practices, excellent customer service skills, be self motivated with a high energy level, and the ability to work as a part of a team.  Key strengths must include critical thinking skills, the ability to problem solve, flexibility, and high work standards.

  • High School Diploma.
  • Valid G drivers license and clean drivers abstract is required
  • You must be able to lift up to 50 lbs.
  • Must have the ability to work a flexible schedule including weekends and holidays
  • RVT preferred
  • Experience in Social Media an asset.
  • Registered Veterinary Technician or equivalent experience an asset.

POSITION SUMMARY:

This permanent, full-time position is responsible for administrative support to Senior Management within Provincial Office.

ESSENTIAL FUNCTIONS:

Support to the Human Resources & Administration Department
• Provide confidential administrative, organizational, and technical support to the Human Resources & Administration department, including preparing documents, presentations and assist with organizing events and promotions (ex., Mental Health Week)
• Complete bi-weekly payroll for the Senior Management Team according to pay schedule ensuring sick days, lieu time, vacation time and stand-by are accurately recorded
• Assist with employee recruitment through coordinating job postings and applications
• Assist with grant applications as required
• Update and maintain Provincial Office Staff and Animal Centre Listing
• Provide administrative support to and otherwise assist with departmental committees

Support to the Finance Department
• Provide support to the Finance Committee, including scheduling and attending meetings, preparing and circulating documents, and recording minutes
• Assist with preparing and mailing/emailing documents, including letters to partners and external stakeholders
• Assist with coordinating in-person meetings and conference calls, as required
• Provide clerical support to the Chief Financial Officer and the Director, IT & Finance
• Perform other duties as required

Support to Provincial Office
• Assist with the organization of meetings (booking rooms, setting up for meetings, ordering food, etc.) including ensuring the proper support systems are in place (ex. projectors, laptops, screens, etc.)
• Reconcile company credit card expenses, ensuring accurate coding, approval and records
• Manage Provincial Office communal spaces including meeting rooms, lunchroom, basement storage, etc.
• Provide back-up reception support covering daily breaks and short-term absences
• Develop and maintain relationships with third party service providers (ex., hotel, car, office supplies, event locations, shredding etc.)
• Distribute and circulate information to Ontario SPCA staff and external stakeholders, as required
• Acts as a resource to provincial staff and senior management
• Perform filing, record keeping, copying, and faxing, as required
• Follow policies and procedures set out by the Society
• Perform other duties as assigned

QUALIFICATIONS:
• Post secondary education in Administrative Management or other related field or an equivalent combination of skills and experience.
• Experience in a similar position in a non-profit or charity environment preferred
• Must have excellent interpersonal and communication skills, written and verbal
• Proficiency with Windows and Microsoft applications is required
• Strong organizational and problem solving skills
• Must be detail oriented and flexible to perform a variety of duties
• Ability to multi-task and adapt to change and shifting priorities
• Ability to use tact and discretion and maintain confidentiality

Manager, Planned Giving
14 month Full- Time Contract Position 

POSITION SUMMARY

The Ontario SPCA & Humane Society is looking for an exceptionally talented, committed and seasoned planned giving professional to join its development team as a full-time Manager, Planned Giving.

DUTIES AND RESPONSIBILITIES

Communications, Marketing and Stewardship:

  • Work with donors, estate lawyers, accountants, insurance agents, financial planners and associated family members to facilitate the completion of a variety of gifts (bequests, life insurance, annuities, charitable remainder trusts, etc.) and to build relationships for the future.
  • Working with the Development Team:
    • Develop Annual Plan and Budget and provide regular reports on progress;
    • Market and promote the portfolio through Ontario SPCA internal and external channels;
    • Assist in the development of cutting edge marketing materials for Ontario SPCA stakeholders and staff;
    • Ensure necessary communications, recognition and stewardship policies are developed and in place to effectively support the portfolio;

  • Plan and participate in donor and prospecting events and activities locally and throughout the province – with specific support for high value donor relationships;
    • Coordinate communications and/or activities aimed at generating leads through integrated direct response channels and develop follow-up strategies;
    • Identify and qualify planned giving donors and prospects, respond to queries through mailings, phone calls and emails as appropriate and visit donors throughout the province, and maintain and update records in Raiser’s Edge, including all points of contact;
    • Ensure planned giving Annual Plan is implemented and opportunities for revenue are maximized.
  • Working with the provincial Animal Centres:
  • Provide assistance in the preparation of planned giving materials and information packages for meetings and events;
  • Provide advice, training and support as needed.

 

Estate Administration:    

  • Responsible for the overall management of the Society’s estate bequest administration consisting of over 250 annual open estate files. This includes:
    • Timely processing of all estate documentation;
    • Follow-up with executors and solicitors as required to ensure estates are moving forward appropriately and closed in a timely manner;
    • Maintenance of estate files to audit standards and completion of annual bequest status reports;
    • Internal reporting on status of all open and closed estate files.

 

KNOWLEDGE AND SKILL REQUIREMENTS

  • University/College degree, or equivalent combination of education and experience;
  • 5-7 years of experience in estate planning, estate accounting and administration, planned giving or related experience;
  • A successful track record in running and managing a Provincial or National Planned Giving Program, handling estates from notification to completion, and working closely with donors to complete their planned gifts;
  • Exceptional interpersonal skills with a keen attention to detail, strong listening skills, empathy, patience and logic;
  • Strong communicator with exceptional written and oral communication, judgment and decision making skills;
  • Excellent working knowledge of Raiser’s Edge;
  • Member of the CAGP and active CFRE status preferred;
  • Demonstrated commitment to continuing professional growth and education;
  • Ability to travel throughout the province and must have a valid “G” driver’s license and access to reliable transportation.

POSITION SUMMARY

The Symbolic Giving Assistant is an important member of the Development team and a key asset within the Ontario SPCA’s year-end fundraising program.  The Symbolic Giving Assistant will be responsible for the customer service and fulfillment of Ontario SPCA’s Paws & Give™ Symbolic Giving program.

RESPONSIBILITIES

  • Reports to the Senior Manager, Annual Giving
  • Coordinates the shipping and fulfillment of all Paws & Give orders received online, from staff, by phone and by walk-in
  • Monitors and responds to all emails received in the Paws & Give inbox
  • Monitors and responds to all phone calls received on the Paws & Give extension
  • Maintains inventory control on all merchandise and shipping materials, planning ahead for restocking as needed
  • Outreach to local businesses pitching Ontario SPCA’s Paws & Give program as an alternative giving option for staff and clients
  • Other duties as required

 

QUALIFICATIONS

  • A relevant college diploma or university degree or equivalent
  • Proven ability to manage multiple projects and priorities on tight deadlines
  • Finely honed customer service and interpersonal skills
  • Proven communication skills, both verbal and written

Animal Control Officer – Orangeville
Part Time: 16 hours per week (approx.)
This is a 3 month contract role with the possibility of extension                                        

As an Animal Control Officer, you will be responsible for Animal Control By-Law enforcement.  The successful candidate will be required to work weekends, evenings, holidays and/or a rotation schedule.  In addition, the candidate must be available to work stand-by shifts as required to respond to after hour emergencies and on occasion to cover for vacation. This is a part time position that requires the candidate to be available on short notice. The ability to work overtime is also required.

The successful candidate will possess an O.S.S.D. or equivalent and post secondary education in Police Foundations, Law and Security Education, or Animal Enforcement. Experience with animal handling is preferred. If considered, you must have a Valid Class “G” driver’s license and be able to provide and maintain a clean Drivers Abstract and Police Clearance Certificate.  Moderate to heavy physical effort is involved in this position.  Candidate must possess excellent conflict resolution skills.  We are looking for a team player with excellent negotiation, interpersonal and conflict management skills.  Working knowledge of MS office applications would be an asset. Criminal record check required.*Must be able to respond to the scene within 30 minutes of dispatch.

Senior Manager, Finance Operations
Full Time Position – 40 hours per week
Reports To:     Director of Finance and Information Technology

 

POSITION SUMMARY:

This position plays a key role in the Finance department by overseeing all aspects of the donation processing operations including the processing of gifts and tax receipts, supervision of a team of 3 staff, and oversight of the Raiser’s Edge database.

 

RESPONSIBILITIES:

Donation Processing Operation

  • Supervise gift processing for all donations in a timely and accurate manner including: direct mail, monthly giving, special events and other (ie: legacies, direct deposits, etc)
  • Reconcile & authorize department bank deposits
  • Supervise tax receipting process to ensure they are issued in a timely manner and in compliance with CRA standards
  • Provide reporting, metrics and analysis of gift processing operations
  • Review and document business processes to ensure the gift processing operations is running efficiently and effectively
  • Ensure that the donation processing operations is in compliance with all relevant standards (ie: CRA, PCI, CPA, etc)
  • Support the branches with Gift-in-kind and tax receipting inquiries
  • Supervise the mailroom/shipping/receiving function for Provincial Office

 

Database Administrator – Raiser’s Edge

  • Supervise the Raiser’s Edge import process from other applications (ie: Luminate, Petpoint) to ensure data is accurate and timely
  • Perform, review, maintain and reconcile the Raiser’s Edge GL Posting function
  • Configures Raiser’s Edge database based on user requirements
  • Maintains code tables (ie: campaign, fund, appeals, package codes, gift , etc), and attributes (gift, constituent, action)
  • Performs periodic queries to cleanup records and ensure data integrity (ie: update addresses, remove duplicate records, unsubscribe and bounce-backs emails)
  • Provides Raiser’s Edge support and training for internal users
  • Installs software upgrades, patches and add-ons as required
  • Performs maintenance, backup and troubleshooting of the SQL database
  • Provides reporting and analysis to assist the Finance department
  • Works with other departments to ensure that other systems within the organization (ie: Luminate, PetPoint) have the correct financial configuration for processing in Raiser’s Edge and the GL

 

Other Responsibilities

  • Creates process and system documentation for the department
  • Provides insight for continual improvement of the operational and financial effectiveness of the finance department;
  • Supports the CFO, Director of Finance and Information Technology and other members of the finance department as required;

 

Qualifications:

  • University degree or related College diploma
  • 3-5 years experience with Raiser’s Edge database or similar application
  • Advanced level Excel skills (ie: vlookup, pivot tables)
  • Strong data manipulation skills and experience using 3rd party import tools (Omatic)
  • 3-5 years database management experience (SQL database)
  • Strong knowledge of reporting tools and querying data (ie: Crystal Reports, Access, SQL)
  • Experience working with online fundraising applications (Luminate Online) and credit card payment gateways/processors
  • Strong communication skills
  • Proven ability to manage a team
  • Proven ability to handle multiple projects and priorities on tight deadlines
  • Detail orientated and strong analytical skills
  • Must be a team player
  • Experience in a non-profit organization considered an asset
